Terms and Conditions

1. Introduction
These Terms & Conditions apply to all coaching services provided by Kahu Wellness Coaching, whether booked directly by an individual or purchased by an organisation on behalf of an employee.
By booking or using any service, you confirm that you have read and accepted these Terms & Conditions.
2. About Kahu Wellness Coaching
Kahu Wellness Coaching provides professional coaching conversations designed to help people think more clearly, explore challenges and make decisions with greater confidence.

Other coaching services that may be introduced from time to time
Coaching is collaborative and future-focused. It is not counselling, psychotherapy, medical treatment or legal advice.
3. Is Coaching Right for You?
Coaching works best when you are ready to engage in honest conversation and personal reflection.
Kahu Wellness Coaching does not provide:
crisis intervention
emergency mental health support
psychiatric care
diagnosis or treatment of medical or psychological conditions
If it becomes clear that another form of support would better meet your needs, or that coaching is not appropriate at that time, Kahu Wellness Coaching reserves the right to decline a booking or end the coaching relationship. Where appropriate, you may be encouraged to seek more suitable professional support.
4. Booking and Payment
Bookings are confirmed once payment has been received unless another arrangement has been agreed in writing.
The fees payable are those published on the Kahu Wellness Coaching website or otherwise agreed in writing.
For employer-funded services, payment terms will be agreed directly with the organisation.
Follow-Up Sessions are intended as a continuation of a previous Unstuck Session. If a significant period has passed since the original session, Kahu Wellness Coaching reserves the right to recommend booking a new Unstuck Session instead, where this is considered more appropriate.
5. Cancellations and Rescheduling
You may reschedule your appointment by giving at least 48 hours’ notice.
Appointments cancelled with less than 48 hours’ notice may be charged in full.
For employer-funded sessions, appointments cancelled or missed by the employee with less than 48 hours’ notice will be treated as a used session and deducted from the employer’s purchased session balance.
If you arrive late, the session will still finish at the scheduled time to avoid affecting other appointments.
If Kahu Wellness Coaching needs to reschedule a session, an alternative appointment will be offered as soon as reasonably possible.
6. Confidentiality
Confidentiality is one of the foundations of coaching.
Information shared during coaching sessions will remain confidential unless:
you give permission for information to be shared;
disclosure is required by law;
there is a genuine concern that you or someone else is at immediate risk of serious harm.
Where an organisation has purchased coaching sessions for employees, the organisation is purchasing access to coaching, not access to the conversation itself.
Employers will only receive information necessary to administer the service, such as whether a session has been used and the remaining balance of purchased sessions. The content of coaching conversations will remain confidential unless one of the exceptions above applies.
7. Online Sessions
Most coaching sessions take place via Zoom.
You are responsible for:
joining the session on time;
using a suitable internet connection;
choosing a private environment where you can speak freely.
Sessions must not be recorded by either party without prior agreement.
8. Your Responsibilities
Coaching is a collaborative process.
You remain responsible for the decisions and actions you choose to take following a coaching session.
While many clients leave feeling lighter, clearer or more confident, no specific outcomes can be guaranteed.
9. Employer-funded Coaching
Where coaching has been purchased by an employer:
the commercial agreement is between Kahu Wellness Coaching and the employer;
the coaching relationship remains between the coach and the individual employee;
coaching remains confidential in accordance with these Terms;
purchased session blocks are valid for 12 months from the date of invoice, unless otherwise agreed in writing.
Unused sessions cannot normally be exchanged for cash unless required by law or agreed in writing.
10. Limitation of Liability
Kahu Wellness Coaching will always provide services with reasonable care and professional skill.
To the fullest extent permitted by law, Kahu Wellness Coaching accepts no liability for decisions, actions or outcomes arising from coaching conversations.
Nothing within these Terms limits liability where such limitation would be unlawful.
11. Privacy
Your personal information is handled in accordance with the Kahu Wellness Coaching Privacy Policy.
Please refer to the Privacy Policy for details about how your information is collected, stored and used.
12. Changes to These Terms
These Terms & Conditions may be updated from time to time.
The latest version will always be available on the Kahu Wellness Coaching website.
13. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
